The majority of time managing a fleet involves active fleet management. This includes managing vehicles, drivers, and staff that are required to keep vehicles operational. But at other times, what your company may need is the decommissioning of vehicles.

Vehicle decommissioning is a common practice in the fleet business that looks to identify and remove vehicles or equipment that are no longer being used or have not been used for long periods of time. This will allow your organization to save money on vehicle and equipment costs or to re-allocate those resources.

Some of the most common decommissioning activities are:

  • Title transfer: the title to the vehicle must either be transferred to the new owner or destroyed following the provincial or federal laws.
  • Equipment removal: to leave the vehicle in its original state, free of decals, company logos, license plates, and equipment that was previously installed.
  • Fuel System: If your vehicle has a card lock fuel system, it is important to make sure it is removed to avoid future problems.
  • Inspection: maybe one of the most important practices, because it looks to inspect the decommissioning of the vehicle (as you would if you were receiving it from the dealer) to ensure that it is in safe operating condition if it is marketed again

Important to know that decommissioning is sometimes referred to as laying up a vehicle, even though the two terms mean slightly different things. Decommissioning means making a registration notification that suspends the charges for insurance and interrupts the tax period for vehicle tax while the vehicle is off the road. Laid-up insurance is a service provided by insurance companies. It suspends insurance fees for the period when the vehicle is off the road.
